Jesto Timesheets Privacy Policy

This policy explains what information Jesto Timesheets collects, how we use it, and the choices you have. Jesto Timesheets helps teams record work hours, track attendance, log time against tasks and projects, and produce reports.

Jesto Timesheets is part of the Jesto platform. This page covers the data specific to Jesto Timesheets; our main Jesto Privacy Policy also applies. Where your employer or organisation provides Jesto Timesheets to you, that organisation decides how it is used and is responsible for the records kept in it — we handle that information on their behalf.

1. Information we collect

Account and profile information

Your name, email address, role, and sign-in details (or the basic profile shared by your identity provider when you sign in with SSO).

Time and attendance information

  • Clock-in and clock-out times, work hours, and breaks.
  • Timesheet entries you submit, including hours worked per day or period.
  • Attendance status and related leave information used in timesheets.

Task and project time

Time you log against specific tasks, projects, or clients, along with any notes or descriptions you add to an entry.

Approvals

Timesheet submissions, approvals or rejections, and the identity of the approver.

Reports

Timesheet, attendance, and summary reports generated from the information above.

Technical information

IP address, browser and device type, and log data collected automatically when you use the app.

2. How we use your information

  • Record and calculate work hours, overtime, and attendance.
  • Route timesheets for review and approval.
  • Produce timesheet and attendance reports, and provide inputs for billing or payroll where your organisation uses them.
  • Authenticate users, keep accounts secure, and prevent misuse.
  • Respond to support requests and improve the service.
  • Meet our legal obligations.

3. Data storage and security

Jesto Timesheets data is hosted on secure cloud infrastructure (Microsoft Azure and Amazon Web Services). We protect it with encryption in transit, access controls that limit who can view data, activity logging, and regular security reviews. No system can be guaranteed completely secure, but we work continuously to protect your information.

4. Data sharing and third-party services

We do not sell your information. We share it only in these situations:

  • With service providers who help us run the app (such as cloud hosting and email delivery) under written contracts.
  • With your identity provider when you choose to sign in using SSO.
  • With managers, approvers, and administrators in your organisation, according to the access your organisation configures.
  • When required by law, or to protect the rights, property, or safety of Jesto, our users, or others.
  • As part of a merger, acquisition, or similar transaction, with appropriate safeguards.

5. Cookies and tracking

The Jesto Timesheets app uses essential cookies to keep you signed in and remember your preferences. Our marketing website uses analytics cookies (such as Google Analytics and Microsoft Clarity) to understand how the site is used. You can manage cookies through your browser settings; disabling some may affect functionality.

6. Data retention

We keep timesheet and attendance information for as long as your account or workspace is active, and for as long as needed to provide the service, meet legal obligations, resolve disputes, and enforce our agreements. Your organisation may keep records for its own payroll, tax, or employment-record purposes and can export or request deletion of its data. When information is no longer needed, we delete or anonymise it.

7. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict, or receive a copy of your personal information, and to object to certain uses. To make a request, contact support@jesto.ai. Because timesheet records usually belong to your employer, requests may be directed to them, and we will help them respond.

8. Account and user responsibilities

  • Keep your login details secure and do not share your account.
  • Record your time and attendance accurately and honestly.
  • If you approve or manage others' timesheets, handle that information responsibly and only for its intended purpose.

9. Changes to this policy

We may update this policy from time to time. If we make material changes, we will update the date above and, where appropriate, notify you by email or within the app. Your continued use of Jesto Timesheets after changes take effect means you accept the updated policy.
