Jesto AI Note Taker Privacy Policy

Last updated: 1 September 2026

This policy explains what information Jesto AI Note Taker collects, how we use it, and the choices you have. Jesto AI Note Taker joins or processes meetings to create transcripts, notes, and AI-generated summaries and action items.

Jesto AI Note Taker is part of the Jesto platform. This page covers the data specific to Jesto AI Note Taker; our main Jesto Privacy Policy also applies. Because this application processes meeting conversations, please read the sections on AI processing and consent carefully.

1. Information we collect

Account and profile information

Your name, email address, and sign-in details (or the basic profile shared by your identity provider when signing in with SSO).

Meeting information

Meeting titles, dates and times, and participant names or email addresses associated with a meeting.

Content you capture or upload

  • Audio, and video where applicable, when you choose to record a meeting.
  • Transcripts generated from meeting audio.
  • Files, notes, or other content you upload for processing.

Generated content

AI-generated summaries, highlights, and action items produced from your meetings and uploads.

Technical information

IP address, browser and device type, and log data collected automatically when you use the app.

2. How we use your information

  • Transcribe meetings and generate summaries, highlights, and action items.
  • Let you view, search, edit, and share your notes and summaries.
  • Connect to your meetings and calendar where you enable those features.
  • Authenticate users, keep accounts secure, and prevent misuse.
  • Respond to support requests and improve the service.

3. AI processing

Transcription and summarisation are produced by automated (AI) processing of your meeting audio and any content you provide. This processing is used to deliver the features you request — creating transcripts, summaries, and action items. Your meeting content is not used to train AI models, and is not used for advertising or profiling. (Both statements to be confirmed by the Jesto team — see the note above.)

4. Data storage and security

Jesto AI Note Taker data is hosted on secure cloud infrastructure (Microsoft Azure and Amazon Web Services). We protect it with encryption in transit, access controls that limit who can view meeting content, activity logging, and regular security reviews. No system can be guaranteed completely secure, but we work continuously to protect your information.

Third-party services

We do not sell your information. We share it only in these situations:

  • With service providers who help us run the app (such as cloud hosting, AI processing, and email delivery) under written contracts.
  • With the meeting or calendar platform you connect, when you enable that integration.
  • With your identity provider when you choose to sign in using SSO.
  • With members of your workspace you share notes or summaries with.
  • When required by law, or to protect the rights, property, or safety of Jesto, our users, or others.
  • As part of a merger, acquisition, or similar transaction, with appropriate safeguards.

5. Cookies and tracking

The Jesto AI Note Taker app uses essential cookies to keep you signed in and remember your preferences. Our marketing website uses analytics cookies (such as Google Analytics and Microsoft Clarity) to understand how the site is used. You can manage cookies through your browser settings; disabling some may affect functionality.

6. Data retention

We keep your meeting notes, transcripts, summaries, and any recordings for as long as your account is active, or until you delete them, and for as long as needed to provide the service and meet legal obligations. You can delete individual meetings, transcripts, and notes, and your organisation can export or request deletion of its data. When information is no longer needed, we delete or anonymise it.

7. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict, or receive a copy of your personal information, and to object to certain uses. To make a request, contact support@jesto.ai. If a meeting was organised by your employer or another organisation, that organisation may control the content, and requests may be directed to them.

8. Consent and participant responsibilities

Recording and transcribing conversations is regulated in many places, and rules differ by country and region. You are responsible for informing meeting participants and obtaining any consent required by law before recording or transcribing a meeting with Jesto AI Note Taker. Use the app only for meetings you are permitted to record, and follow your organisation's policies. (Final wording to be confirmed by the Jesto team.)

9. Account and user responsibilities

  • Keep your login details secure and do not share your account.
  • Only record or upload content you are allowed to, and notify participants as required.
  • Share transcripts and summaries responsibly, since they may contain sensitive discussion.

10. Changes to this policy

We may update this policy from time to time. If we make material changes, we will update the date above and, where appropriate, notify you by email or within the app. Continued use of Jesto AI Note Taker after changes take effect means the updated policy is accepted.
